Setup, ownership, recurring costs and limitations

Setup requirements

We first confirm the business number/account setup, approved use case, message direction, languages, lead fields, human handoff rule and any CRM/calendar/API access needed.

Provider ownership

Production WhatsApp messaging should use official or supported business tools/providers. The written scope states which account/provider is customer-owned and who is responsible for provider approval.

Recurring costs

Meta/provider messaging fees, AI usage, hosting/VPS, phone-number/provider plans and optional managed support can be recurring third-party or support costs. They are separate unless explicitly included.

Integrations

CRM, ERP, Google Sheets, calendars, payment links, webhooks and APIs can be integrated when access and technical compatibility are verified during discovery.

Consent & templates

Customer-initiated and opted-in journeys are preferred. Business-initiated messaging may require approved templates and must follow applicable WhatsApp/provider rules.

Limitations

Automation cannot guarantee sales, provider approval, message delivery, a third-party API's uptime or a customer's response. Pricing, contracts and sensitive decisions can remain human-approved.

WhatsApp CRM for distributors

WhatsApp enquiries from dealers need stock-aware quoting and human handoff. See our distributor WhatsApp CRM workflow guide.

WhatsApp Business API rollout: decisions before launch

Use these checkpoints to decide what belongs in the initial project scope. Final fees, third-party subscriptions, delivery steps and approval roles belong in the written proposal.

  • Number and provider ownership: Confirm who owns the WhatsApp Business Account, sender number and provider relationship. Integration must be approved through official supported channels.
  • Lead qualification and handoff: Decide which enquiries the bot can handle, which details are saved in CRM and when a named employee must take over.
  • Template and messaging charges: Business-initiated messaging, template approval, opt-in requirements and provider charges should be explained separately from development fees.
  • Failure recovery: Test missed webhooks, duplicate messages, unknown pricing and customer opt-outs before enabling live customer follow-ups.

See the India distributor workflow example for quotation and stock-approval logic. You can also review starting prices and package scope.
